Guidelines for required duties for doctoral research fellows in four-year posts at the Faculty of Theology

Enters into effect on 01.01.2015 Adopted by the University Board on 19.12.14.

Doctoral research fellows in four-year posts at the Faculty of Theology have one year of required duties (corresponding to 1 695 hours). The purpose of the required duties:

  1. to give doctoral research fellows experience with teaching and examinations, primarily, and other academic and administrative tasks at the faculty, secondarily
  2. to perform tasks that are critical to the faculty's operations

Guidelines for assignment of required duties:

  • The main tasks that make up the required duties are teaching and examinations. In addition, other academic, administrative or welfare tasks may be agreed of the type that would be expected to be performed by permanent academic staff at the faculty. Research and dissemination tasks that can be regarded as part of the organized research training cannot be part of the required duties.
  • Doctoral research fellows receive general credit for administrative tasks at the faculty that corresponds to 10% of the required duties in the year; i.e. 170 hours. This credit is considered compensation for participation on committees, attending meetings and subject policy seminars. Dedicated credit is granted for work as an employee representative and for participation on the University Board and the selection committee. The same applies to more extensive academic and administrative work assigned by the Dean of Studies. Other participation in academic meetings/seminars is part of the organized research training, and does not count towards the required duties.
  • Doctoral research fellows receive fixed extra credit for teaching and examination work that corresponds to 10% of the required duties in the year; i.e. 170 hours, as compensation for the extra work associated with the first time a task is performed.
  • The Dean of Studies decides which tasks are part of the required duties. When a doctoral research fellowship has been linked to a research project, and the required duties are assigned to the project, the Dean of Studies will assign the required duties, in consultation with the project manager.
  • The Dean of Studies and the Head of the Section for Student Affairs (the Programme Coordinator) will meet with the doctoral research fellow at the beginning of the fellowship to plan the required duties; i.e. the type of tasks that may be part of the required duties, procedures for assignment of tasks, needs/options for adaptation of the required duties, etc., especially with a view to starting the required duties quickly. Annual meetings will also be held with the doctoral research fellow to discuss needs and wishes for the coming year and the status of the required duties.
  • The Dean of Studies may delegate responsibility to the Programme Coordinator for agreeing on duties with the doctoral research fellow regarding ordinary teaching, and teaching and dissemination related to recruitment and further and continuing education. These tasks are recorded in accordance with the procedures drawn up by the Programme Coordinator.
  • Decisions by the Dean of Studies regarding other work must contain information about the nature, scope and duration of the work, and the name of the person the work is for. Doctoral research fellows record the decisions of the Dean of Studies regarding tasks and specification of credit for required duties in accordance with the procedures drawn up by the Programme Coordinator.
  • The contact person for doctoral research fellows in relation to teaching and examination work is the person with course responsibility/the programme manager. For other tasks, it is the person the work is for.
  • In mid-February/mid-September of each year, the Programme Coordinator gives doctoral research fellows a list of the required duties performed the previous semester, which is to be corrected/approved by the research fellow within a set deadline. A new status report regarding the required duties will then be drawn up and given to the doctoral research fellow.
  • The required duties of doctoral research fellows on sick or parental leave, whose period of employment is extended in accordance with the duration of the leave, are normally not reduced.
  • Doctoral research fellows who have not completed required duties cannot be compensated for assignments from the faculty in any other way than by receiving credit for required duties.
  • These guidelines apply to doctoral research fellows who took up their post in the spring of 2014 and later. The guidelines also apply to doctoral research fellows who began earlier, with the exception of points two and three above, whereas the Dean of Studies can enter into a dedicated agreement regarding compensation covered by these two points for doctoral research fellows who have not completed their required duties by the autumn of 2014.

The Dean can authorize changes to these guidelines.
